1. About this policy
Luminescent Learning LLC ("Luminescent," "we," "us," or "our") operates an online platform (the "Platform") that connects families with independent tutors, primarily in the Austin, Texas area. This Privacy Policy describes how we collect, use, disclose, and protect personal information when you visit https://luminescent-learning.com, create an account, use the Platform, or contact us.
This Policy applies to parents and guardians, adult students who register, tutors and tutor applicants, and visitors who do not create an account. If you do not agree with this Policy, do not use the Platform.
We are based in the United States. Information will be processed in the U.S. If you access the Platform from elsewhere, you consent to that transfer.
2. Information we collect
2.1 Account registration
For parent or adult-student accounts we may collect name, email, phone (if provided), hashed password, billing-related information as required by our payment processor, and preferences.
2.2 Student intake
Parents may provide a student's first name, grade, subjects, goals, availability, service location (street, city, state, ZIP) for where sessions typically occur, schools, and optional notes (including accommodations or health-related information only if the family chooses to share it). Sensitive information is not required for basic matching.
Service addresses may be geocoded (converted to latitude and longitude) on our servers to support operational matching (for example, distance between tutor and family). We do not collect precise real-time GPS location from devices for advertising.
2.3 Tutor applications
We collect name, email, phone, résumé and application answers, subjects, availability, residential address (for matching), and related application fields. Résumés and files are stored in Supabase Storage (see Section 5).
2.4 Session logs
We create records for scheduled tutoring, including date, duration, assigned tutor and student, session notes tutors enter (visible to the family as implemented in the Platform), billing fields, and operational metadata. We do not record tutoring audio or video unless we implement a separate, explicit consent flow in the future.
2.5 Payments
Stripe, Inc. processes payments. We do not store full payment card numbers on our servers. We may store Stripe customer IDs, payment method metadata, transaction amounts, dates, and limited card descriptors (for example, last four digits) as Stripe provides.
2.6 Technical and log data
We collect IP address, browser type, pages viewed, referring URLs, and similar data in server and hosting logs for security, debugging, and reliability. We do not use Google Analytics, advertising pixels, or cross-site behavioral ad tracking on the Platform as described in this Policy.
2.7 Geocoding
We use Google's Geocoding API to convert U.S. addresses you submit into coordinates server-side. Google's terms and privacy policy apply to that processing.
3. How we use information
We use personal information to:
- create and manage accounts;
- review intake and match students with tutors;
- operate scheduling, session logging, billing, disputes, and referrals;
- process payments and maintain financial records;
- review tutor applications and run background screening through Certn where applicable, including compliance with the Fair Credit Reporting Act and standalone disclosures we provide;
- send transactional email (receipts, security, billing, onboarding) via Zoho Mail;
- protect security, prevent fraud, and comply with law; and
- enforce our Terms and agreements.
We do not sell your personal information. We do not use your information for cross-context behavioral advertising.
4. Legal bases (U.S.)
We rely on: contract (providing the Service); consent where we request it (for example optional fields); legal obligation (tax, payment, and similar recordkeeping); legitimate interests (security, fraud prevention, product improvement that does not override your rights); and parental consent for information about children under 13 submitted through a parent-controlled account (see Section 6).
5. How we share information
5.1 Service providers
We share data with providers who process it on our instructions:

We use written terms (including vendor DPAs or service terms) appropriate to each service.
5.2 Tutors
Matched tutors receive the minimum information needed to prepare and conduct sessions (for example, student first name, grade, subjects, goals, and notes the parent supplied). Last name, full financial data, and payment credentials are not provided to tutors through the Platform unless a family chooses to share information directly outside our systems.
5.3 Legal and safety
We may disclose information if we believe in good faith it is required by law, legal process, or to protect rights, safety, and security.
5.4 Business transfers
If we are involved in a merger, acquisition, or asset sale, information may transfer as part of that transaction. We will provide notice where required before a new policy governs your information.
5.5 No sale / no sharing for ads
We do not sell personal information and do not share it for cross-context behavioral advertising within the meaning of the California Privacy Rights Act.
6. Children's information (COPPA)
The Platform is intended for parents and guardians to register on behalf of minors. Children under 13 do not create their own accounts. Information about a child under 13 is supplied by the parent through a parent-controlled account.
By registering and submitting intake information about a child under 13, the parent authorizes collection and use described in this Policy for providing tutoring services.
Parents may request access, correction, or deletion of a child's information (subject to legal retention needs) by contacting us at privacy@luminescent-learning.com with "COPPA Request" in the subject line. Deleting required information may limit our ability to continue service.
We do not use children's information for behavioral advertising or direct marketing to the child.
7. Data retention
We retain information as long as needed for the purposes above and as required by law. General guidelines:
- Active accounts: while the account is open, plus a short wind-down period if needed.
- Session and billing records: at least seven (7) years for tax and financial compliance where applicable.
- Session operational history: typically three (3) years after the last related session unless a longer period is required for disputes or law.
- Tutor applications (hired): for the engagement and three (3) years thereafter unless longer retention is required.
- Tutor applications (not hired): up to two (2) years, then deleted or de-identified unless law requires longer retention.
- Server / infrastructure logs: on the order of ninety (90) days, subject to rotation and incident needs.
When retention ends, we delete or de-identify information where feasible.
8. Security
We use administrative, technical, and organizational measures designed to protect personal information (including TLS/HTTPS, hashed passwords, access controls, and reputable infrastructure providers). No method of transmission or storage is completely secure. If we are required to notify you of a breach involving sensitive personal information, we will do so as required by applicable law (including Texas notification statutes where they apply).
9. Your rights and choices
Depending on your state of residence, you may have rights to access, delete, correct, opt out of certain processing, or appeal a decision. We honor applicable requests consistent with law.
To exercise rights, email privacy@luminescent-learning.com. We may need to verify your identity. Transactional service email may continue where necessary to perform our contract with you.
10. California residents
We provide the following for good-faith transparency. Whether CPRA thresholds apply to our business can change over time; the categories below describe our practices regardless.
10.1 Shine the Light
California residents may ask whether we disclosed personal information to third parties for their direct marketing in the prior calendar year. We do not disclose personal information to third parties for their direct marketing. You may still contact us as below.
10.2 Categories collected (reference)
Identifiers; customer records; commercial information; internet/network activity; education information (supplied by parents); professional information (tutor applications). We do not intentionally collect biometric data for identification. Parents may voluntarily share health or accommodation-related details; we do not require sensitive personal information for core services.
10.3 Sale / sharing
We do not sell personal information and do not share it for cross-context behavioral advertising. A "Do Not Sell or Share" link is therefore not required for that activity; we will honor opt-out of sale/sharing requests that apply to us if submitted in writing.
10.4 CPRA requests
If CPRA applies, California consumers may have rights to know, delete, correct, limit certain uses, and non-discrimination. Contact privacy@luminescent-learning.com. We will respond within 45 days where required, with a possible 45-day extension when permitted.
11. Texas residents
If the Texas Data Privacy and Security Act or other Texas privacy laws grant you rights and apply to our processing, you may contact privacy@luminescent-learning.com to exercise those rights. Small-business exemptions may apply under Texas law depending on our size and activities; we still maintain reasonable security measures and honor this Policy.
12. Changes
We may update this Policy. We will post the new version and update the Last reviewed date. For material changes, we will provide additional notice (for example email or in-app) where appropriate. Continued use after the effective date constitutes acceptance except where your explicit consent is required.
